When is my organization billed for employee expenses?

You’re billed when employees use their balance and their claims are approved.

When setting up a program, you choose how much employees receive, which expense categories are eligible and when employees can start claiming expenses.

These allocations determine how much employees can claim. You don’t need to pay the allocated amounts upfront.

When an employee submits an eligible expense and the claim is approved, the reimbursement is processed and your organization is billed for the amount used.

For example, if you allocate $500 to an employee and they submit an approved claim for $100:

  • Your organization is billed $100.

  • The employee has $400 left to claim.

  • The remaining $400 is only billed if it’s used for approved claims.

For employee expenses, the amount to track is what was actually reimbursed, rather than the total allocated.
